the hotel that we reserved for our out of town guests has a shuttle available.

the wedding ceremony starts at 4:30 and the reception ends at 9:30 and the hotel is 11 minutes away from the venue.

what time should I have the shuttle leave the hotel and venue? how early should guests arrive and should I just have the shuttle pick them up at the end, 9:30?

I would do a couple of shuttle times to the ceremony, one at 3:45 and one at about 4:10 (or as soon as the shuttle returns from the first drop off - 25 mins later). I would do routine shuttle service starting at 8:15 (in consideration of older guests, ill or pregnant guests, or guests with small children), then do a shuttle trip at 8:45, 9:15, and 9:45.

Run the shuttle making rounds from about 3:45 until 4:15. You want to make sure everbody can make it if the shuttle is full or hits traffic, perhaps they take too long locking up and miss the first one.

For the reception I would let the shuttle start taking people home at about 9:00 and go until 10:00.....you really shouldn't use the shuttle as an excuse to hold everybody hostage so if they want to leave a little early let them. You will also have people who may stay help clean-up or finish of their drinks.

I would have the shuttle scheduled to leave at 3:45 because people will ineveitably be late and it will leave the hotel late. That way you can make sure that a whole group doesn't get to the wedding late. Then have the shuttle pick everyone up at 9:30.

We had our shuttle come at the end of the reception- 10PM. It was great because it meant that everyone stayed until the end! I would say you should make sure the shuttle arrives at least 20 minutes before the ceremony, to give people time to take their seats, and to allow for any hold ups.

Have It Be There around 9:45 so they can say goodbye and get their things in order.
