for example i call a company how do i sound polite to the secretary?

"Hello, my name is ____, may I please speak to ___." She will say something like, "hold while I transfer you" and make sure to say "thank you" to her.

I think it all depends on who or why you are calling, but i would start with the following:

1) Use a greeting eg: Goodmorning/Afternoon

2) State your name (if you like) and company (if applicable)

3) Explain the reason for your call or ask for someone in particular.

For example:
"Good Afternoon, my name is Moo Moo from Dairy Milk Products. I'm calling in regards to an order I placed for 200 plastic spoons. May i speak with someone about this order?"

The above is just an idea - but you would apply this to your situation.

I'm not sure I agree with other posters' answers. Some are short and without value. This is my approach.

The secretary will give you his/her name. Remember it and introduce yourself. Then explain what your issue is and remind the secretary by name that you know they are trying to assist you and that you appreciate their time.

You will be made to wait while the information is obtained. When you are asked to hold for a moment, say, "Thank you for helping me, I'd be glad to hold". The secretary will return by saying, "I'm sorry to keep you on hold..." You will interrupt at this point and respond by saying, "It is not an inconvenience and you need not apologize; I realize these things take time and I appreciate your kindness and professionalism".

The secretary will already have fallen in love with you, as he/she has talked to 15 irate people before you. Remember, you interrupted before with a complement. This makes you different and the secretary will devote all of the resources available to help you.

Smile when you are talking and mind your manners. As a former secretary she/he can make or break whether you get to whomever you are calling.

I work a front desk... here goes...

Don't scream but speak loud enough she can hear you.

Have your thoughts organized when you talk to her, and any paperwork you may need to talk to her about and numbers you may need to give her.

Remember please and thank you just like you were there talking to her.

First off use English. Then say Hi, then tell them what you want. Then be sure to thank them and to tell them to have a nice day.
