We would like to figure out how much food we need for a wedding reception for 250 people. It will be light hors d ouvres and dessert. How many veggie, fruit and cheese and cracker trays and how many finger food desserts (petit fours, eclairs, tarts, cookies and cream puffs) will we need?

If you are only serving hors douvres and dessert, you should probably plan for more than 6-8 hors douvres and 3 desserts per person since you will not be serving a main dish. I agree that the best person to talk to about this would be a caterer. Also, I'm not sure if you have Coscto where you are at, but Coscto has a return policy where you can return anything, including food (that's not expired of course). We used Costco for our wedding for the beverages. We overbought on drinks, so we wouldn't run out, and then we are going to return the left overs.

With a wedding reception of that magnitude, I'd talk to a caterer! They are equiped to make items in larger quantities and can help you with the numbers. On an average, you should plan on 6 - 8 horsdouvres and 3 desserts per person, depending on time of day and what kind of appetizers your having as well as how long your reception will last. You might consider having one meat, such as a ham, for carving to make mini sandwiches. Good luck!

For the deserts, I'd figure it like this: 5 desserts per person x 250 people. Five is a bit high, but is probably an average. You probably won't have 250 people show up, but that number or even 275 will cover for any miscalculations.

Having fewer deserts is a way to tell people the reception is over.

Do yourself a favor and cost this out vis a vis a 3 course sit down dinner.
Hors d'oeuvres are nice and all but when they have to be made to wedding standards they get very labor intensive very quickly .

If it's light appetizers you need to assume that your guest will eat btw 3-5. How many people will your trays feed?
