I run a small business. I am closed Sundays and Mondays. I am always at my store and only have part time help that comes in to help me in the afternoon. When reps call, I pretty much tell them any time between 11-5 will work for me Tues-Fri. I don't need a set appointment because I am always there. A few weeks ago I had a lady call to set up an appointment. I remember looking on the calendar to see what day it was. When I saw it was not a Monday I said fine. I thought it was the very end of Nov. Well tonight I checked my messages at my store and this rep called at 11 saying she was sitting in my parking lot and I was closed. She said that we had an appointment. I would not make an appointment on a Monday because it is the day I am closed, unless I looked at the wrong calendar month when scheduling with her. I feel terrible and have been looking forward to purchasing from this company. How do I apologize for missing the appt?

By all means, call her back and sincerely apologize about missing the appointment and that you are definitely hoping she would accept to meet with you again. You don't have to explain yourself unless the lady asks you why you weren't there.

Simply call her as soon as possible and apologise sincerely.

Ask her to call again, and say you'd like to schedule your next meeting over lunch (not somewhere fancy, just a nice cheap local cafe!) to say 'sorry' and look through her catalogue at the same time.

You could explain that you somehow confused the dates, and that you don't open certain days.

Perhaps you looked at the wrong month on the calendar, or had a moment's inattention ~ it happens to everyone, and with the pressure of a normal business day it's perfectly understandable.

Sales reps are often treated quite rudely, so a sincere apology and the offer of a sandwich and coffee should let her know you are genuine!

An honest mistake deserves an honest explanation. Dont forget that they want your business too. And honest business is the best business. If they wont accept your apology, do you really want to do business with them? Just tell them that you looked at your calander wrong. Thats what happened didn't it? Show cincerity but dont show weakness. Thats when you loose respect.

Just call her back and apologize for the "oversight," and invite her to come in on another day. She wants to meet you also, so it won't be that big of a deal...
