I want to tell the lovely couple this weekend, just in case they don't want us to play I can cancel our booking. How should I make it special? Should I make a poster, or sign or card?? Let me know what you think...they come to a lot of our shows.

I am hiring a sub for myself if they do choose to have our band play I can attend to her and not be performing. I WONT be mad if they dont choose us....just wanted to throw it out there to them. They asked before but couldn't afford us, so I'm paying for them.

That is certainly a kind gesture to offer your best friend! But please be prepared in the event she declines your gift. She may just want you at the wedding as a guest, and not as a performer.
You might approach it in a way that gives your friend the option to consider your band. Hiring the entertainment is such a big part of the planning process, that maybe they already had their mind set on a DJ as opposed to a band. Even though they might attend a lot of your shows and love your band, perhaps they had something different in mind for their big day. How much wedding experience do you & your band have? Do you have any wedding experience?
Chose your words carefully. No need for a card or poster. Take cues from the conversation.
Maybe something like, "If you haven't selected musical entertainment yet, my band & I would be honored to perform for your wedding." Pause-don't force an immediate response. Then ask her and her fiance' to think about it and let you know.
I'd be cautious about making a statement about having the opportunity to book elsewhere if she declines your offer. That would give the impression that you would skip her wedding in order to perform in your band, should she decide to go with another musical entertainer.

I like the card idea. In it write something like:
"I would love to make my gift to you for your wedding be to have my band play at your wedding if you are still interested"
Then explain everything you said in your question on Y!A.
I think they will love the idea but you should leave them an out in case they already found someone else. Good luck.

That's a nice thought, but have you considered that she may not want your band to play at her reception? It's nothing personal, but the couple may have other plans for the music,and your band might not be the style they are looking for. It would be awkward for her to have to tell you no. If they want your band, they will ask, and then you can tell them you'll do it for free. Otherwise, plan on a different gift.

I'd ask her quietly if it's something she would like. She may not want you to play there or think the music is inappropriate for the crowd etc. You don't want to put her on the spot since this is a big day for her. It's a nice gesture but I wouldn't make a big deal out of it so that she won't feel uncomfortable saying no if she has to.

I would take them out to dinner or cook for them this weekend and when dinner is done tell them you have a gift for them and its early...
.. In this wrapped box put a poster or card to let them know that you and your band would be greatly honored to perform at their wedding for Free!! Im sure she will be ecstatic. I know if my friend offered I would be super excited as I am getting married in June of 09.

Don't do this. Just offer your services and don't make her feel obligated or anything. A wedding is special and she may or may not want your type of band/music at her wedding. It's best to handle it this way so she doesn't feel pressured and like she has to use your band. It's very nice of you though.

Take them out to dinner, and at the end of the meal tell them you have an early wedding gift for them, and have them open up the card.

can you make a cd of your band playing a song then in the middle of the song you put in a line - about playing the wedding...
or make a spoof song- na na na na they say it's your wedding na na na na we'll be there too-
sung to the beatles they say it's your birthday lol
or do a poster- one night only - barb and bills wedding !
something like that
