Couple questions that should help you:

1) Will it be held at a house or a rented facility?
2) Can everyone be responsible to bring items? For those living further away, consider easier items that can be picked up when they get into town or have an option to provide money to someone local to pick up the item.
3) Some items will be reusable so consider who will keep these until the next reunion. (food serving plates, "warmers", etc...)
4) How many people are involved. Will the planning be by person or family unit? Do you base what people bring/pay based on family unit size? (i.e. family unit with two kids versus family unit with 5 kids)
5) Do you need to arrange for sleeping areas? If at a house, can people setup tents? Do you have floor space/rooms? Consider having people use inflatable air mattresses.
6) Will you provide drinks (alcohol/non-alcohol)? If allowing alcoholic drinks, consider BYOB.

We've been having one at my aunt's house every year for the last couple of years and often have 60+ people. Every family unit brings some food item based on a theme (past year was Itallian, next year is "diner food" and a chili cook-off), each person brings their own towel for swimming, and she has plenty of floor space and yard space for most people to stay at her place unless they prefer a hotel.

Make sure to allow others to help (recruit if needed). If you get more family members involved, you are more likely to have a successful reunion plus you'll get time to enjoy it too.

It can be very simple. My husband's family has been doing this for 40+ years. Everyone brings their own cooler with beverages, table service, their own meat and a dish to pass for everyone to share.

Simple games such as a water balloon toss or egg toss. The main idea is to be together as a family. Don't know where you live but if it is warm have the kids bring a change of clothes or suits to run and play in a sprinkler or buy a cheap kiddie pool.

Good Luck and kudos to you for planning a reunion. I have hosted several in the past few years and everyone has been so grateful for it.

The first thing that you need to do is send a note to everyone you think might want to attend and see who is interested in attending. Later you can establish the ground rules like, everyone bring their own beverage, place settings, meat, and a covered dish to share with everyone. Also, if you plan to have it at a park and need to pay a fee, tell them that you will let them know what their share will be.
