Congratulations on landing the job!! First and foremost, learn to get to work on time everyday. Plan your free time around your job, not the other way around. Always remember, you are the first person people see when they come in the office, so first impressions are important!! Make sure your clothes are clean and pressed, and your hair is clean and styled so that it stays away from your face. Makeup should be light, wear only simple jewelry, and leave the gum in your purse. But most of all, learn to smile and be courteous, even if you meet morons and crabby people. Ask for assistance from a supervisor should you encounter an abusive or threatening patient. Watch and learn how difficult situations are handled and always follow directions from supervisors. They wield alot of influence with the doctors, so being a team worker will gain you respect with your co-workers. When speaking on the phone avoid using slang language (this is why they made you take English classes in school) and if you don't know the answer to a question, DON'T just say "I don't know." Tell the caller you will ask someone, and ask for the person's phone number. Assure them you will get back to them with an answer. THEN BE SURE AND DO IT!! And one other big no-no...don't talk to your friends on the phone while you are working!!!! There is nothing more frustrating to a patient than to have to listen to someone on a personal call, or have to wait for attention while you finish your call. They'll complain about you to anyone who will listen and most of the time, it's the doctor!!! Try and stay out of office "politics." Gossiping and talking behind your co-workers' backs won't get you promoted, but it will mean a poor review when it comes time for a raise. Don't think your bosses don't know what's going on in the office just because they are busy. Trust me, they know. If you are responsible for keep the appointment book, make sure your writing is neat and legible. And one last thing. EVERYONE makes a mistake now and then. It's inevitable. The important thing to remember if you do make a mistake is to ACKNOWLEDGE it. Don't try to shift blame or make an excuse. Accept responsibility and ask how it can be corrected. I have witnessed supervisors behaving like jackasses when something goes wrong, and it does NOT impress anyone. The idea here is to act mature even if they don't. Don't dwell on it; make it right if you can, forgive yourself, and move on. No one is perfect. If you can remember what I've written, and combine it with your own experience, you will do well. The Job will include:

1. Responsible for call management both inbound and outbound. Some times [International calls support and tracking.]
2.[In some organizations] Data basing for critical vendors, suppliers and service-providers.
3. Guest/ visitor, dignitaries management, messaging and reminders for concerned officers.
4. Administration support data entry for lunch\dinner vouchers and claims related to HR.
5. Stationery management, dispatch & courier database management
6. Employee leaves administration.
7. Support to HR team in terms of booking, conferencing, ticketing and related jobs.
8. Monitoring all incoming and outgoing calls & Taking Messages.
9. Coordinating with other branch offices / departments- Tracking of all Couriers/letters.
4. To receive and attend the clients (Ability to work as an administrator) and handle all reception related activity independently.
5. Attending visitors and other routine administrative work.
6. Co-ordinate for house keeping team, pantry services & in-house admin activities.

To ward off visitors your Boss does not want to see, (
old girlfriends, baliffs, that sort of thing) to deploy all
calls that are going to interfere with any lunch or tea break
and generally look good !! ( a certain degree of dishonesty
in required for this job, well, white lies actually !!)
Bearing all this in mind, you are the FRONT of the Company, and should be seen as happy, helpful, proffessional and know where everyone is at any time, plus,
if the person wanted is willing to see anyone, Reps, wives (old or new !) or passing head hunters...
You are not allowed to show any sign of fatigue or
downright fedupness and must be all things to everyone
in the Company !!! THE VERY BEST OF LUCK !!!!

Welcome visitors, take in mail & packages [unless there's a mail-room or delivery door elsewhere], answer main phone line and transfer calls as needed, keep appointment book for your boss/es, be the "voice" of the company when phonecalls come in, and the "face" of the company when people come in...good appearance helps, gracious and friendly demeanor helps, ability to handle a visitor and an incoming phonecall and an inside buzzer request from your boss more or less at the same time without getting in a flap. Other light stuff like addressing mail, fluffing up the reception area [plant-watering, straightening up magazine or brochure rack & tables]...main attributes: cheerful, unflappable, knowing who's who in the company, remembering client names when they come in, good courteous outlook.

Be presentable, meet and greet guests. Let staff know when visitors arrive for them. Direct people, accept deliveries and sometimes switchboard/phone answering.

you have to always be pleasant to the customers,answer phones and usually involves some other light work which varys from company to company

To be as annoying and as unhelpfull as is humanly possible, at least thats how they are in our local health centre.
