I'm making a herbarium. I decided to print the data for each plant. So I have made a document with about 100 pages that each one has the data for a plant, example:

Family: Fagaceae
Species: Quercus coccifera
Date: 4-5-07

The data are actually more but let's say they are these 3. Is there a way that I can "automatically" add ex. the common name of the plant above the date. I want to make it like this:

Family: Fagaceae
Species: Quercus coccifera
Common name: holly
Date: 4-5-07

But I want to add automatically the phrase "common name" to all pages and then write one by one the names. Can I do it???
Please help me...

Ok, your going to have to go through and put the common name in yourself, there's no quick way for that... but you can add the "common name:" line quickly like this.

Edit>Replace(Ctr+H)

Find: Date
Replace: Common name: ^l Date

This will find the text:

Date

and replace it with:

Common name:
Date

^l is the shortcut input for manual line break.

You have to use date because the line above doesn't end in the same word on every line.

Unfortunately, no. This is where true databases and reports come into play. Word wasn't intended for this.

Your best bet in Word would be to reorganize the data into a big table. Adding a column would then take effect for all entries at once.

But with individual entries like you have them? No.

You could try a "Find & Replace". Hit control-F, then choose the replace tab. Have it search for "date", and then have it replace it with "Common Name: Date:"

When you find the common name for each, put in the name, and then hit return, and the Date entry will then be on its own line.
