The problem is I don’t know who contributed what so it’s hard to refund the money. I’m thinking of just getting a present anyway and explaining to the lady that a collection was made when everyone thought she was leaving, what do you think?

Thanks to everyone who contributed. The thing is she's not sure if she'd be leaving. She is trying to renew her visa and she thinks her chances may not be too good. She has resigned from her previous post but has been given another ad-hoc job in the dept.

I would speak to everyone that donated and ask them (depending on the circumstances) if they still want to give the cash or would like to have a staff get-together or what....that way they get an opinion. If there was a hardship or something people (probably) will still want the person to have it....if not a staff party might be a good thing to have OR maybe you could set aside this fun in case of a future donation to an employee with a disaster. Find out what all the contributors think first. Let them vote or take a poll. Don't just decide or it will be a problem next time you need to organize.

I'm not going to look at the other answers before I answer. You need to go back to all who contributed. Admit you made a mistake and ask them to tell you what they each contributed. In such a situation, most people will be honest. Next time, take a pen and a piece of paper or a little notebook with you and write down the person's name with the amount next to it. That way you know for sure. This time, if there is a shortage, I'm afraid you would be the one who would have to make up the difference. Good Luck.

Real life.... donate it to a charity and see how much people donate the next time someone leaves. Just buy her a present anyway? It would put that staff member in a sort of awkward position.

If you can't think of anything right now stash it away. You could use it to by food for a lunch at work or something. Or use it for everybody to go to happy hour. Since this person is thought of well enough for people to donate money you could have a "glad you are staying " happy hour.

Actually this matter has a simple yet reasonable solution; present the "once going" now staying co-worker with a nice greeting card saying something like "Wonderful you're Staying". In the card, tell them that their co-workers did take a collection, and ask them what charity they would like the money donated to (in their name of course). Then, simply make a donation to the charity they suggest.

How about donating the money to a charity. You could either ask the woman in question to choose which, or propose a vote amongst the contributors. Do you think that would avoid upsetting anyone? I know that I'd go along with it.

I would use the money to have a party for the office. Depending on how much was raised you could order pizza for the whole office or just a nice food platter. You could even make it a potluck; have others bring in sides, and use the money to purchase a main dish for the meal.

I would choose a charity and donate the money to it. Perhaps you could ask around or put a notice up informing people of the situation and ask them for their choices of charity. If you get too many then put all the choices into a hat and pick one out.

Why not ask everyone if it would be alright to use the money and have pizza delivered for everyone, or some other type of lunch. I don't think people would mind too terribly about that, and that way no one would feel as though they had chipped in for nothing.

Do some special office event with it...have a picnic at a park with the employees who contributed on a weekend day to celebrate her staying...everyone liked her enough to contribute money to help her out....

Use it to buy everyone a drink at the next office evening out. Or just buy some cakes for everyone. The charity suggestion is a good one, too.
