The execs in our company decided this is someone we don't need to deal with on an ethically upstanding basis and I need this to come across tactful & dignified.

How would you word this letter?

Just tell them that at this time you do not feel that your firm is the one that needs to be handling their business. Tell them you are too covered up to give them all of the attention that their account deserves. If at all possible refer them to someone else.

Keep it short.

Dear Sirs,

Thank you for submitting *proposal*. At this time we have decided to use a different company. Thank you for your interest, we will keep you on file should we need your services in the future.

Short and no details.

Dear Sirs,

Thank you for providing our firm/company with a catalog of your product line (or for providing us with a presentation of what your company offers). We will keep your information should we decide to proceed with any future purchases/services.

Thank you,


Keep it short and simple, without providing them with any promise or future business.

This should be a boiler plate letter for any firm that tries and solicits business from you.

"After reviewing your needs, our company's management has decided that you would be better served by a firm whose goals more closely fit with yours. We wish you all the best in your business endeavors."

If your company has a mission statement, you might review it for specifics. Hope that helps..... :>)
