our college celebrates an event every year, where each engineering department presents its projects, me and a group of my colleagues are in charge of decorations, any ideas?

Boy I wish I did.
Large Banners, stating the event and welcoming people, for outside.
If classrooms are being used . Banners over each door stating the rooms activity.
Plenty of directions as to where things are and what is there.
Plus a schedule of the times of events, if they have a time table.
Forgive me but I am old enough to be your grandmother so I am going to take the liberty of correcting your speech. Grammatically the other person always comes first in your speech, and writing and you come last.
Ex. A group of my colleagues and I are in charge of decorations. (Correcting this incorrect speech and writing pattern will help you out in life.) Plus you are in college. You actually should have learned this in elementary school.
