I want my residents to use the room, and enjoy it, but I worry that if they want tp through lets say a childs party, it can lead to more damage than it worth. I am trying to figure out the correct Deposit amount, and some basic rules to keep everyone happy.

My p;atest expeirence was allowing a resident to throw her duaghters 16th b-day. There was cake on the carpet, and thick syrupy chocolate on the carpet. Fortunatly, this was all, they did "try" to have a cake fight, but I was there and stopped it. I do not want, or would neer discriminate against children, however I need to protect "our" community room, or we wont have one to use!

Any suggestions??

Well, it sounds like you are taking "reservations". I would do it on a 1st come basis. As for a deposit, that should depend on the party. Is it a little old lady and her friends playing bingo? or is it a 6 year old's b-day? Is it just a gathering or will there be food and drinks? It also depends on how much it costs you to get the carpet cleaned. I would take a deposit of 1/2 the cost of carpet cleaning and inform the resident that they will be responsible for all damages and give them a list of common costs (ie: carpet cleaning/replacement, window replacement, and replacement costs of equipment/furniture) Also, write up a contract that they MUST sign in order to use the room. Do a walk trough with them before and mark down any stains/damage (like when you rent a car) and then do a walk trough with them after and mark down any new stains/damage.

If you are renting it, you can reasonably expect the renters to clean it up after themselves. That being said, I would still go in afterwards and make sure that it is clean prior to returning the security deposit. I would set the amount based on the cost of your renting a carpet cleaning machine, doubled or tripled depending on how much you are renting the room for. I would also make sure that the conditions are a part of the rental contract, and require that a responsible adult is on site at all times, no exceptions. Also consider alcohol use on the site, you may want to regulate and/or prohibit it all together (liability- if a drunk person trips on the carpeting and breaks their leg, etc)

This may seem too simplistic but I'd merely get the rate for carpet cleaning as a standard deposit for reservation, fully refunded upon returning the keys with the room in the same condition as accepted. If the room required attention, certainly the deposit would not be refunded. Too easy!
