to make it look good and beneficial i.e when we changed the oil ,when we took any maintenance over the pump , changeover etc what should i do.please help is their any readymade software as to which i can just enter my tag nos for the equipments and it will work if it is daily entered. or else what shall i do

You can use a spread sheet. If you want to be compliant to the ASME standards you will have to buy them. In those standards they will have a general template of what a pump spec sheet should look like. They also have templates for maintenance records. Also, you should try to find all of the existing records for the pumps stashed around the plant, pump curves etc. Go into the field and collect all of the plate info off of the pumps. Make sure all of the records match what is in the field. I have to tell you this because it is very common in industry to have very out dated records.

If you find these lacking, I suggest a database rather then Excel. With a database, you can design custom data entry forms specific to your needs. Many databases also offer some calculation ability, and if you need more, you can always export to a spreadsheet.
