I work in Admissions so I have lots of walk-ins, but lots of phone calls. I think it's rude to stop talking to the people in front of me to answer the phone, so I usually let the phone go to voicemail. But do the people in FRONT of me think it's rude I don't answer my phone?? I want to do what's polite all the way around...which is right?

You are at work, so you have to treat it like a work setting and not asocial setting; prioritize your time based on what is most urgent and important for your job atthe moment. Just be polite, apologize to your guests and say "I have to take this call... it will be x minutes"

When I call an office - any office - I rarely get a human. I'm put on hold or shunted to voicemail. I think that's a general expectation. So I would give priority to the people in front of you, and return the missed calls when you are able.

It depends on the situation. If I am having a asthma attack etc. the last thing I want to do is deal with somebody who is talking on the phone instead of instead of helping me. Besides time could make the difference between life and death. I would think it would be rude for sure in this cirumstance.

Unless you have a dignitary or some sort of visiting supervisor, tour of the office, etc. coming through your office, it's safe to say to your guest "please excuse me while I take this call". I don't think the people in front of you would consider it rude if you didn't answer your phone. Like I said, it all depends on who's in the office. Prioritize!

Ask the person in front of you to excuse you. Answer the phone, advise the caller you will be with them shortly, then put the caller on hold. Finish your business with the person in front of you. If you think this will take more than 3 minutes, take the callers number and call them back.

You can balance your calls and your person to person discussion. I do not agree with ignoring the telephone since it can be perceived that you do not take calls. Allow some calls to go to voice mail if you are speaking to the same person and you have interrupted the conversation more than twice to answer the phone.

If the person in your office is a peer or subordinate, say "excuse me" and answer the phone. If it is a higher up ask "do you mind if I answer?" If they say to go ahead, answer. In both cases, once you answer if it is a quick question, answer it. Anything else, take a msg and return call later.

You are right to give primary attention to those who have come in in person.

Set up your phone so you can silence it if busy - like you can with a cell phone. Or perhaps one button that sends the caller directly to voice mail.

Deal with the people in front of you...makes them feel important and they're less likely to bad-mouth your office.
Do return calls ASAP and upon the event of a disgruntled person...say, "I was extremely busy dealing with patients, clients or customers." (whatever the case may be)
