saved, kept, perserved....you have to keep them safe.

it means kept.
they should not be thrown away
since they might be needed for reference
or more likely in case of legal matters coming up
wherever you got this from is a bit obsolete because it is still assuming paper records not computerized.
nowadays retained is usually on a hard drive or CD somewhere.

It means make another copy and keep both copies in a safe place, one on the computer and one on a disc in a safe.
