Outlook saves your data in Data files, All info in your Personal Folders + your contacts + notes + calendars will be in one file but if you add e-mails they would have their own Data Files, there are 3 ways to save this info and use them later or add them to another outlook
1. You can copy Data Files and later open them with outlook, where are Data Files? in Outlook 2007 in Files choose Data File Management but I don't remember if previous versions had this or not
2. You can export your info from Files > Import and export, but its not a good way for saving info if you would like to add them to outlook again
3. The best way to do this is downloading and installing an add-on which Microsoft offers for free, it will save a back-up of your Outlook files in a place that you choose (its like step 1 but easier, cause software would do the things) and if you want to add those info to another outlook, you wont need the add-on, you can simply open the back-up file with any outlook

You must use the software Outlook Backup,I think it´s freeware.

In versions of Outlook and Outlook Express. Emails are stored in data files on your computer's hard drive.

The files are normally hidden away in a special folder on your hard drive, but you unhide them and then can browse to the files to make copies of them and copy them to CD, Flash Drive, etc.

It depends what version of Outlook you are currently using, so try one of the following for the office 'Microsoft way' of doing it:

lately i've downloaded True Image backup utility.
It has outlook backup feature.
It's very reliable, fast and easy-in-use
