i work in the office of a small company and i do most of the payroll tasks.
the owner doesn't want to file w-2s electronically, so that means i have to use this 25 year old word processor, which will be a new experience for me!!
so, can i not use it and just hand write the w-2s?? there are only 6 of them!! will the IRS accept hand written w-2s??

The IRS will accept handwritten W2s.

Be considerate of the employees and type them. Handwritten W-2s are often flagged as "nonstandard" by the tax preparation software. It is easier for them to be misread when Social Security and Medicare are recorded by the SSA. It is easier for the tax preparer to misread the numbers.

They are one of the factors used in evaluating if the W-2 is fraudulent.

It is easier on the individual taxpayer to have a w-2 printed or typed rather than hand written, because it can cause errors and delays in tax computation. And, if the taxpayer is trying to take advantage of one of those high interest pre-file or tax loans, it can exclude them from being able to.
Later on if there is an audit or question by the Taxing Authority (Fed/State), it can be grueling and unnecessary problems....

Although it maybe easier for IRS and tax payers, there isn't anything illegal to have hand written W-2s. Make sure it is legible, accurate and goes through all the copies.
