does anybody know why, when someone sends me a meeting request, I cannot see any accept or decline icons? I just get normal text.

Have you turned off the option to show HTML in messages? I think the icons you refer to must be either special HTML characters or embedded images. You can choose to show this stuff but it opens you up to some possible malware that can launch from embedded stuff. Most people can't resist it so go for it. The link below will tell you how to put HTML back into your Mail application.
