Well, you need to specify a city and state first. :)
I operate a charter company in San Francisco, CA, which may be too far from you, but here are some "ground rules".
1) Determine how many seats do you need. Remember, buses generally do NOT have seatbelts (they are NOT Federally required) and thus you would have a hard time mounting a baby-seat!
2) How much luggage do you plan to bring? Please count everything, in terms of standard suitcases. How many large, and how many small pieces do you expect to bring along?
3) How many days and hours do you plan to use the bus? You will be charged for every hour from the time the bus shows up at your door, all the way to the time the bus drops the last of you off. You should have a CLEAR itinerary ready that says go where at what time. It doesn't matter if it's just a roughdraft, you'll need one to get an accurate quote.
4) Are you going to motels / hotels, or camping, or whatever? Generally in out-of-town trips you are expected to pay for the driver's room and food. Depending on the location, expect to pay $100 a day for room and food. Driver will generally request a single room as not to be disturbed by any one.
5) Usually any sort of tolls, such as bridge tolls, highway tolls, parking, and such is YOUR responsibility. Ask now to make sure.
6) Add 15% gratuity to the bill. Ask the charter company if that's included in their price or not (usually it is not)
7) Do you have any special requests? Wheelchair lift for grandpa? Restroom on a large bus? TV and DVD player? (Sorry, no game consoles available that I know of on buses)
After you find the company, get a quote from them, with the above info in mind, then check the company's references and ratings and such in BBB, DOT, and local state registry (in CA, that's PUC).
