i have never done this before, but i can`t find the policy anywhere. I have a letter, stating my cover, with a ref. number on it, will this be enough?

Just get on to the insurance company. They'll either know you or not, and if they know you, then they'll know what you've got covered and can tell you the procedure.

It will be enough. Call them and tell them what happened. They will tell you what is covered. Find out what your deductible is. It may not be worth it if your ded. is too high.
