Good report writing is basically like good news reporting, the important things are Who, what, where, when, why, how. That is the primary rule. Remember the attorneys, judges, the press, and others may be reading these reports. Also remember that the rule in court is basically if it's not in the report, either it didn't happen or you considered it too unimportant. The court cases arising from a report may be tried months or years from the time that the report is made, so be complete and direct. Also, write in proper English with no slang or jargon.I have to review a lot of reports, and I see some terrible examples, such as using radio codes, slang such as wigger or perp, and poor sentence structure that makes it appear threat the officer was the one committing the crime. Write in the first person, say I did this or that, not "this officer" and not "I observed the perpetrator" but plain but correct English, such as "I saw the suspect." Spell check won't catch every error so proof read. For example , spellcheck will try to turn nystagmus, an involuntary eye movement, with nasturtium, a flower. Also, when making out an arrest report or a crime report, have the statute in front of you so you know the crime you are describing is actually the correct one, for example theft versus robbery both involve taking the property of another, but robbery includes force orr the threat of force.

If you had a wreck with an 18 wheeler and damaged the gas tank the police report would say what was done to keep the diesel fuel from spreading. This would be a report of containment actions, telling what was done to " contain" the spill.
