had problem with ntl for four days. cannot speak to one person,details not kept so have to explain the same thing to every person, promised three calls back no call. i am ready to blow up.

Google "business letter." You will get a bunch of business letter examples, and that's how you should go about it.

Do not apologize for anything. Make sure your grammar and spelling are correct. Address it to a PERSON, not a company, if possible. End it with something like "Sincerely," not "Thank you."

First of all be mindful that your purpose is not to vent your anger but to get your problem solved.

2ndly, call the place and ask whoever answers; "what is the name of the individual who over sees the customer service department". Once you get that ask for the mailing address. Do not, begin discussing your original problem again. Tthe purpose of this call is limited to getting the name & address.

3rd. Briefly explain that you have tried calling (No more than 2 or 3 sentences) and that you wanted to write them personally to make sure that you have exhausted all avenues before seeking outside help.

4 Ask will they please help you resolve this problem and explain what the problem is and what you want from them if you know what that is.

5) Give a phone number where they can reach you

6) End the letter by asking for help is better than leaving it on a threat. Even if you have bottomlined them in the body of the letter.

You write the first draft and swear and curse all you want. Then you delete that. Then you write the 2nd draft and you threaten and rant. Then you delete that one. Then after you have rid your self of all your pent up feelings you can sit down and write a rational logical letter explaining your problem, bulletizing your experience, who you have spoken with, how their company has not met your expectations and what you would like to accomplish. Then you make sure in the body of the letter that you have all your contact information and account information, and thank them for any assistance they can give to fix the problem.
The person who gets the letter may be an entirely different department and shouldn't be abused before they have had their chance to help you.

The key to writing a letter of complaint is to make sure you specify not only the problem, but also suggest a reasonable solution. Send the letter to the appropriate department and address it to an individual if possible. Keep it short, direct and friendly, but firm.
