We are thinking it could end up being 400-500 people on the guest list. How much in advance should we book a Church and Reception Hall?

I would start YESTERDAY! I am planning my wedding for July 2007 and our church only had our day open, and I had to call 12 different places to find a reception hall that was open. i would get busy if i was you. Our day is very popular (07/07/07) so hopefully you have more luck than we did. Congrats!

With a guest list of that size, you will want to call now to get details on reception sites so you can book at least one year in advance. Many will not accept the reservation until 1 year before the event. You'll want to make appointments to visit the various halls and find out all the details especially do they have a space big enough for that many people. Booking the church now would also be a good idea. October is not quite as busy of a month for weddings, but you won't want to leave those details until the last minute.

Oh my word - 400-500 people??? That's a large wedding and be prepared to pay a boatload for the wedding! LOL

But congrats on the engagement!!!


Book NOW!!!! Where I am from October is a VERY popular wedding month! I got engaged in January of this year. Our wedding is September 2007 and we booked our reception and church by March. The reception site was already booked for the daytime wedding slot and this was 18 months in advance!

With 400-500 guests you will not have as much flexibility with booking reception sites. I have approx. 250 guests and there were several places we liked but they didn't accomodate 250 guests. So you will need to start looking immediately!

NOW! Depending on the area, many popular wedding venues are booked 1 to 2 years ahead of time! The sooner the better, especially with that large of a guest list.

October isn't a big month for weddings, but I'd still try to book ahead since it's about a year away. That's a pretty large guest list, so try to find places now that would be able to accomodate. Work on the other details once you have the locations booked. Good luck on a happy life together!

You could be paying for a small town!

The further in advance the better, especially for such a large group.

First figure out a budget and THEN think about how many people you can afford. At $12-$30+ per head, you may want to rethink the 400-500 people. They won't be insulted if you haven't spoken with your second cousin twice removed in 12 years.

Start Now. A year is normally when you start planning. With a guest list that large you need as much time as possible finding a venue to accomodate. Most places are already completely booked until a year out.

As soon as you find a place you like for the reception, book it! Places book fast and October is a popular month. Also, start talking to your church, if you are members of one, about the ceremony. If not, find a church that will take you as non-members, as some require that you attend their church in order to do your ceremony.

my coworker is planning her wedding for August 2007, and they are telling her now that she is running late with bookings. Book the reception and church as soon as you can.
