All files are stored in a single large file room, based on some universal system (by case number, alpha by name, etc.) You request a file by sending a slip or email to the file room clerk and they bring it to you.

In our law firm all the files are kept in a "central" place, ergo, "centralized filing system" They are kept in alpha/numeric order. Example: Our clients have an alphabet letter according to client's last name or first name of a business client, followed by 5 numbers. John Smith would be S00001-1, General Electric would be G00001-1, etc. If a client has several case numbers we indicate that by a dash -- G00001-1, etc. The numbers increase as a new client has a file opened: George Sack would be S00002-1. That is how our filing system is set up but centralized files can be organized in any manner, but they are always kept in one appointed place in the office. Hope this helps.
