I would use a word processor file for almost everything printed. I would use it to make PDF files that I share on the internet.

But I would use Power Point when I want to:
Make slides
Make outlines
Make notes
Make slide presenatation
Make a website presentation

Well, first, you would need to understand the reasons for which you would consider using PowerPoint in the first place. Based on the fact that you are considering using a word processed document as an alternative, I find it difficult to believe that you have such an understanding.

But, I'll give you one, just to be nice.

Assuming that you are sending a "presentation" to someone, then here is a factor to consider. If you use a document, which you formatted in, for example, MSWord, then if they use a different editor, then they may not be able to view it correctly. When you package a "presentation" in PowerPoint, the software automatically bundles a PowerPoint reader to the file, to insure that the file can be opened.

PowerPoint is best for a live audience. For example, if you are leading a discussion or presenting material to a group, then PowerPoint enables the audience to follow key points. Word is a poor form for a live audience because you lose the attention of the audience.

Word is best when the audience is not present. It enables a full description of your points. PowerPoint is generally not effective to pass along information to an audience by email or other passive forms because details and explanations are not included.

As a student it is nice to have a power point outline to take notes on while following along the teachers demo.

A word document would be good if the information is not likely to be reviewed in class much but is needed like a class outline or project outline or something possibly along those lines.

Power point documents can be more difficult or time consuming to assemble sometimes and a lot of deciding whether one is better than the other is your style of presentation.

Powerpoint presentations are suited for large audiences when your extra information is not as important as the main ponts. If you can list lots of points then powerpoint is good. However, if the details are as important as the list and you don't have to speak about it I would make a whitepaper.

Am I able to give this presentation on a monitor in front of many people?

Does it require any graphics or animations?

Photos and spreadsheets?

Basically if I'm not making a document in paper form with almost nothing but words, I'd use Powerpoint.

It depends whether you are giving a presentation or not. what you are going to use the document for. With Powerpoint you can make overhead slides alot easier. Completely different applications. Why? Are you doing a paper on that or something?

I assume you are asking when to use one versus the other?

Powerpoint presentation are for presenting concepts to others at a high-level. Use a power point presentation if you can tell the story in bulletpoints and diagrams.

Use a word document if it is neccessary for you to record and get across details...such as a reference document.

They have very different purposes.

Word: Generally used for letters, reports, stories, etc. Ideal when there is a lot of text to be read and only occassional diagrams or illustrations.

Powerpoint: Generally used for presentations or illustrated manuals. Ideal when you need minimal text along with diagrams or illustrations.
