the only other thing is, theres lots of little details to it. do u think id be better off just calling and speaking to someone?

Just stick to the facts and keep emotion out of it. State the issue, how it occurred, how you were impacted by it, and what kind of resolution you would like to have.

Use facts, be polite. Say "Thank you sincerely for your attention in this matter." somewhere in the letter. Also, keep it short. If they don't answer, start cc, ing in other people in the next letters. Get one to the CEO if necessary.
