I am currently trying to write turndown letters for 2 internal applicants. I have some the letters started but it is a touchy situation. Any suggestions on a tactful way to state that they did not get the job? We hired an external applicant but I want to impress upon them that they are important to our organization.

THEY ARE LIKE ANY OTHER APPLICANT, AND SO THEY SHOULD BE TREATED, NO PREFERENCIAL TREATMENT, BUT ALSO STRESS THAT THEY ARE VERY VALUABLE TO THEIR DEPARTMENT AND THAT THEY DI NOT MEET THE REQUIRMENTS NEEDED FOR THE SPECIFIC POSITION

Be as professional as possible. What made you go to the external applicant. Did they not have all the job skills or experience that the job demanded. If so then say that. What is the company's policy on hiring? Many are supposed to hire from within before going to an external source? Above all be honest and keep it simple. Something like:

Dear (applicant),
We appreciate your time and interest in the available position. We regret to inform you that the position has been filled at this time.

or

Dear (applicant),
We appreciate your time and interest in the xyz position but regret to inform you that we felt the position required someone with more experience(more education... something else). Please contact.... if you have any questions.

No matter what you say it isn't going to be received well so be ready for the hard questions.

Tell them the truth.
We appreciate your time, enjoyed meeting with you. At this time we have decided to fill the job with another applicant.
Don't give reasons for other candidate winning out, other than you thought they would be best suited for the position. You don't need to give reasons. If you want to say they are valuable and you will consider them for future opportunities i would consider that OK..

Short and sweet is the only way to keep from hurting people. Don't mention that the party hired was from an external source.

No matter what you say; the applicants will be upset. So don't break your head over the matter. A simple: Your application was unsuccesfull wil suffice...

Start w/" we were very impressed w/ your resume but we have found someone w/ more experience. We will keep your resume on file should there be an opening for your qualifications.

explain to them in person why they did not get the job. you can give them a letter, but with only 2 people you should be able to do it in person. and have details of what they lacked and what they could do to improve their chances of future promotion in the company. also explain to them why their manager failed to have them ready for promotion.
