Make sure you send Certified RRR and keep a copy for your files. All conversations with your LL should be in writing and a copy for your records in case they come back and question something.

Most leases provide for month to month occupancy upon expiration. Read your lease and find that paragraph and refer to it or quote it if it must be in writing. Speak personally to the manager and find out they want to handle it. If they do want the letter then just identify yourself and your apartment. Say that you want to go on the month to month provision in the lease until January 1, 2010 or whatever date. Also say that you understand you will be paying the same monthly rent as provided in the lease. It's not rocket science and you should be able to do something brief and to the point. You would need to sign and date it.

Are you a month to month tenant looking to go with a fixed lease or do you have a lease that's about to expire?
You might word it this way for a fixed lease:
Dear (Landlord),
As you know, my lease with you expires on (date). I would like to renew my lease for (number of) months. Please contact me at (phone numbers) to discuss this matter.
Sincerely,
(Tenant)
If you're a month to month tenant and want a fixed lease, try:
Dear (Landlord),
As you know, I am a month to month tenant. I would like to request a fixed lease extension for a period of (number of) months. Please contact me at (phone numbers) to discuss this matter.
Sincerely,
(Tenant)
When I worked for a property managing company, we had to (by State law) give 45 days written notice of changes to the lease, especially rent increases. Even if the rent wasn't going up, we'd send the tenant a renewal offer that the owner of the unit approved of.
