The contract says "Liquidated damages in the amount of 100% of the "anticipated room night and banquet food and beverage revenue figures" will be due to the resort.

What I had booked was:
- a catered meal with 3,000 minimum
- a banquet room (which was free if i met the meal minimum
- hotel rooms (final numbers for the rooms were due a month ago and confirmation of all numbers were due today)

It's three days before the event. I understand I owe the food minimum, but the hotel rooms too? That doesn't seem right. Because it says individual reservations may be cancelled without penalty 48 hours prior to arrival.

Ugh...don't ask. Other reasons. Good idea about the food though.

I book all of the rooms in a block fashion, and all on the main bill, not individual credit cards.

For large events they may have blocked a number of rooms but I'm assuming that each individual officially booked a room using their own credit card so you may not owe anything on the rooms. You will owe for the food and you may owe a charge for the banquet room also. Why on earth are you cancelling so late? If you already have to pay for the food, why not just invite your friends and family to a big party or have the food cooked and delivered to a homeless shelter?

wow that is a big party to cancel at the last minute!

especially during xmas season, when thy would be expected to book the room and the hotel rooms easily, I would not expect much leeway on this.

depending on where you are, craigslist.com might be a good place to drum up 3000 people or so for a party and free hotel rooms in a hurry.

Or you might want to contact a local event organizer, pay a little extra to them to throw the party, collect $20 at the door (or whatever you can get) and $80 or whatever to cover a room and use it to pay down what you owe.

Work fast, work well (with a band or dj?) and you might even turn a profit.

3 days though, wow! get on the phone to the party organizers right now! They should have a network of email addresses they can put the word out to in minutes.

Maybe you can structure a deal with them and you and the hotel where they take over your obligations....but you have to move FAST!
