Dear Mayor _____ and Council Members,

I am writing to you concerning a letter I received from _____, a police officer employed by the city, dated September X, 2007.

In that letter, ______ accuses me of [specify charge], which is incorrect. A review of the police report dated July X, 2007 will indicate than I am the victim of [specify crime], not the criminal.

I feel that _______'s letter merits a negative notation in his employee file. I would expect that he would have to explain his letter to his supervisor or to the Council itself. As my elected representatives, I hope you will act to discipline ______ appropriately and ensure that he write a second letter which clearly corrects the errors of fact in the first.

I appreciate your prompt attention to this matter.

Sincerely,

Without knowing circumstances, that's about the best I could muster.

Just write the letter, once you write it, put it down and read it a few hours later. Then have someone else read it and tell you what they think. Or call the city council office to discuss the issue with someone - but you are correct, a letter is the best way to go.

I think you should go to a council meeting. They should have at least a portion of the meeting that is open to the public. Go there and express your opinion. It might be more convincing in person.

Find out when they meet and ask for a voice on the open forum.
