Salespeople call our office and she can even tell by the background noise that they are salespeople. Even if they have certain names of people in the company, she knows not to transfer their calls. But we're looking for creative/funny things for her to say, other than the usual, "I'm sorry 'so-and-so' is not available."

Let's hear your suggestions!

"He is currently unavailable, may I take a message"?

This means he cannot come to the phone right now. It does not imply that he is not here. The important thing is honesty. Don't lie and say he is not there. Don't be rude for him and say he doesn't want to talk to them, even if he doesn't.

Tomorrow, he might can his old vendor and need this vendor.

Always get their name, phone number, company name, take a message. Always give it to the person called.

Never give out names or information about the employees or management.

If they ask for the IT manager, or name a position rather than a person, you know they are headhunters, don't give them any names. Just take a message.

Oh, after that I noticed you said funny and creative. My advice is, don't be. You will ruin your company's good reputation.

I don't think it would be professional to answer in that way. Just because she "thinks" it is a salesperson it may not be. Your company should have a designated basic voice mail line that she could transfer those calls into and she should be the one who gets the messages from that point and forward to whomever the caller asked to leave the message for. It should be the decision of the person asked for not the receptionists as to whether the call is important or not...that's why their are receptionists...to forward appropriate calls to the necessary person.

Once she answers the phone have her confirm again who they are calling for and the persons name. Then have her ask "are they a customer of your company"? Then when they say no or repeat them self for the person tell her to tell them this is a business line and we do not accept soliciting phone calls, please remove this phone number from your list. If the person still insist have her ask for their name and phone number so she can speak to the supervisor directly. Just have your receptionist give them a hard time and reiterate having the phone number removed from the list. Edit. Sorry i forgot about the funny part...tell her to say i am so sorry but we are currently going through bankruptcy but I am sure they would like to speak to you regarding credit or getting credit,

we are accumulating written information for a variety of future purchasing needs ... your materials would be welcome. Appointments are made only when we have an actual need to purchase and those whose material is already here receive preference.

naturally, you'll cull the resulting files at regular intervals.
