How can i backup specific emails and backup all mail on lotus notes.?

I've just made a tutorial on this for the company I'm working for right now.

- Login to Lotus Notes
- Go to your Mailbox
- Click Actions menu
- Select Archive - Settings...

Now lets setup your Archive:

- Basically I use the "Default for Last Modified" Archiving type. - Click that then Edit..
- Click on Archive Database... and type in your Archive filename, try "mail_archive.nsf".
- Select OK.
- Click on Select Documents...
- You'll see that the default setting is mail not modified after 365 days will be archive.
- Configure that your own preference.
- Click OK - OK.

Now that you're done with the settings, lets try some archiving. You can archive whenever you want to, take note that it is not done automatically and that you have to command Notes to do so.

- Click Actions - Archive - Archive Now
- If you had mail that has not been modified for 5 days and above, they will be archived.

Now, to view your Mail Archive:

- Click on the Databases bookmark/shortcut which is typically found at your Notes' left pane toolbar.
- Select Browse for a Database...
- On your local server, look for the database typically in this name format without the quotes:

" (Archive)"

- Once found, Notes will immediately take you to your mail archive.
- Also, in your workspace there should now be a shortcut of your Mail Archive.

And that's all there is to it.

Lotus Notes is not used much. Microsoft Exchange is more commonly used. It is also easier to find administrators for Microsoft Exchange than for Lotus Notes, so I would always advise Microsoft Exchange.

dewcoons is correct. copy the .nsf mail file on the e-mail server and then move it to your hard drive. rename it to a different file name.. say oldmail.nsf. Then open that .nsf in lotus notes File>Open>Lotus Notes Application>Browse the file oldmail.nsf where you put it. Then click OPEN. Now you have a back up that is on Local. You can delete the messages on your mailbox and see it on the oldmail.nsf.

If your mailbox is on a server, you would have to archive all the mail you want to save to your hard drive. It will be saved in a file with the nsf extension (default name is mailbox.nsf). Simple back up that file and you have your email backed up.
