what is the correct way to write this sentence?

" I've got all documents for Rick and Linda. I've phoned them today to set up an appointment. I am waiting for Rick to call me back. We will get Rick and Linda to sign the authorization for withdrawal when they come in to sign their mortgage documents "

Try this:
I have all of the necessary documents for Rick and Linda prepared and ready for their signatures. I left a message for Rick to call me as soon as possible to set up an appointment to sign their mortgage documents and this authorization for withdrawal.

More than one way. I'd try this:

I have all documents necessary for Rick and Linda, including the authorization for withdrawal which they can sign when they come in to sign their mortgage documents. I am waiting for a call back from Rick.

I think your way of writing short sentences is good. Most of us (including me) tend to write long sentences. In the process, sometimes the continuity of thought is lost, and the meaning becomes unclear.
If this is the way you normally write, I like your style.
