I run a small guest house in Greece and when people book rooms they pay a certain sum in advance to my IBAN account to confirm the booking. This sum is not refundable if they cancel less than a month before planned arrival.

It is common, when you book a hotel ( not especially Greece, this is worldwide ), that you have to give the credit card details to secure yr booking and to make sure, that they hold yr room for late arrivals. Sometimes a deposit is charged, this depends on the conditions of the fare and the hotel policy.
Passport details ? Normally not, but perhaps they have made bad experiences, so that they want to be sure, that card holder and traveller are the same person.

At 2 different places I stayed I had to give my passport number but that was at check-in not before. As for the credit card anywhere you book advance stays you have to usually give the number, expiration number and sometimes the 3 numbers on the back of the card as a security.....thats even required here in the states.
A Greek friend to get his room had to leave his Greek ID card or something like that at the desk until check-out. I just had to give them my number and date off mine for my room. But this didn't happen but one time.

Yes, it is just a guarantee for the booking. They don't charge you, unless you don't show up without cancelling your booking well in advance.
