How to use the envelope tool

Select Envelopes and Labels from the Tools menu.

Fill out the forwarding and return addresses in the fields provided.

If a Number 10 envelope is being used, then no adjustments are necessary. If a Number 9, C6, or DL envelope is used, then select Options, and choose the appropriate envelope type from the drop down list. For A2 envelopes, choose Custom from the drop down list, and change the width to 5.8 and the height to 4.4. For HP envelopes, choose Custom, and select either 5.8 x 4.5 or 8.8 x 5.8 depending on the type of envelope used. Press OK after making any selection in the Options menu.

Using Mail Merge for printing envelopes

1.
Insert a stack of 10 standard envelopes into the single envelope feed slot with the flap up and to the left as shown in Figure 2.

Open Word, and start a new blank document.

Select Mail Merge from the Tools menu in Word.
4.
Select Create, and choose Envelopes from the list that appears.

Choose Active Window to use the new blank document that is already opened.
6.
Select Get Data, and choose Create Data Source from the menu.

A Create Data Source window should appear. The items that are listed in the window labeled, Field Names In Header Row, are used to create the forwarding address. Remove any unwanted items by selecting each from the list, and selecting Remove Field Name. Select OK when satisfied with the selections.

Type in a filename, and select the save button. The default save path is My Documents.
9.
Select Edit Data Source to add all of the information for all of the forwarding addresses.

In the Data Source window that appears, fill out all of the fields for a forwarding address, and select Add New or press RETURN after the last field to go to the next address. Select OK when finished with all addresses.

Select Mail Merge from the tools menu again, and press Get Data. Choose Open Data Source, and select the previously named document. Select Open.

Select Save, if necessary, then select Set Up Main Document.

Select Merge in the Mail Merge Helper window. Select Merge to update to a new document.

Make any desired changes to the document that is generated.

Select Print from the File menu, then select OK.

Creating a document for an envelope project

1.
Open a new blank document in Word.
2.
Select Page Setup from the File menu.
3.
Choose Landscape in the Orientation section.
4.
Select the Paper Size tab. Select Number 10, Number 9, C6, DL, or A2 envelope from the Paper Size list if one of these types of envelopes is being used. Choose Custom from the drop down list if any other envelope size is desired. Change the width and height to that of the envelope type being used.
5.
Select OK. Type the information into the document, as it should appear on the envelope. Add graphics and change fonts as with any other Word document.
6.
Print on paper first before using an envelope. Place the envelope up to the edges of the paper to see if any changes are required.
7.
Be sure to save the document if it is to be used for future envelope projects.
