Please be advised that on _____(month) (day) (Year) at (time) we will be entering your unit. Your presence is not mandatory as we will just be (doing the whatever reason ur entering)
Be sure to have (whatever necessary things )
IF you are placing this in a lease or something generally tell them... You have to let them know that you will give them 24 hour notice of any entry into units of any sort but please be aware that your presence is not mandatory for such action to take place.

A renter has rights and I hope you know your rights before doing that. The only right a landlord has to enter an apartment where I lived was for one of two reasons.. fire or flood. There are laws that protect renters. I changed the lock on my apt door one time and the landlord asked me if I did and I said what would make you think something like that. I knew they tried to enter my apartment when they said that. They said they had an emergency but would not elaborate on that. Sounds like it sucks to be you if you are ordered to do this by your boss.

I think the way you said it was perfect.
"Please be advised, we will enter your unit even if you're not at home"
Direct and to the point while being professional. If you need to be more specific about why, throw that in there too. For example, "Since we cannot predict when our maintenance staff can get to your request, please know that we will enter your unit even if you are not at home"

i would keep it how you said it, however, keep in mind that renters have the right to a 24 hour notice prior to you entering the apt.
