Based on the contract between our office and yours, the post of Project Administrator does not *exist* in the budget item. Based on that fact, we have to make modifications to the budget (without having to change the overall ceiling amount). Based on this modification, the ABC has sent a new budget structure with the post Project Administrator being listed in the budget item. Should we have got this information, we shall follow it up with memo and SART.

I took the liberty of removing some of the redundancy and "business-speak." (I have no idea what you meant by the first clause in the last sentence, so I took it out as it seemed unnecessary.)

Therefore, we have to modify the budget to include a Project Administrator without changing the overall ceiling amount. The ABC has sent a new budget structure incorporating the new post. We will follow it up with a memo and SART.

Yes it should read- Is not available..instead of does not exist.Otherwise it sounds there is no project Admimistrator.

i would say no. because the post dose not exise. if you use not available. the post could exist but not at that time.

exist sounds okay to me, you should leave it as it is.
