I made some changes in order to make your entry sound the way it would if written by a native English speaker. Some of the wording was technically correct, but a bit awkward. I hope this helps. :)

Up to this point, we have been purchasing wooden beds for our staff accommodations. However, Mr.Rajesh, our HR Manager, has requested that we purchase superior quality cots for staff accommodations. The catalogue and the quotes from various suppliers are attached herewith.

Option I: offers good quality at an affordable price. The minimum order would be 300 cots, and the supplier has agreed to keep this stock in their warehouse. They will make deliveries according to our needs.

This version sounds better I think.

With correct grammar:

At present, we have been purchasing wooden beds for the company staff accommodation. At this moment, Mr.Rajesh, our HR Manager, has requested us to gather a superior quality cot for staff accommodation. The catalogue and the quotes from various suppliers are attached herewith.

Option I: The price would be low, the quality would be high, and the minimum quantity to be ordered would be 300 nos. The supplier has accepted to keep this stock in their warehouse, and they can deliver it according to our requirement.

P.S. When you use "us," you should change it to "the staff" or whomever you mean (it's not very clear). Never refer to yourself in a formal paper.
