Computer will not validate using Address Book - may have to re-run Microsoft Office. Is there some other way to create a data base to mailmerge with letters/labels without using the Address Book which doesn't anyway recognise all my prospective recipients.

Create the names and addresses in an excel spreadsheet. Once that is done, save the spread sheet and then open word. Go to tools, and then select mailmerge. Do a create labels and follow your procedures from there.

Have you looked at the Access templates?
Click on New and then click on the Database tab.
There is a template for Addresses.
In this template you will have the windows and database setup as you require. If it is not quite right then you can modify the windows quite easily. If you make a complete hash up then start again. Don't delete the hash up you may have made a change that worked and you may want to copy that to the final version.

I won't tell you how to use Access in mail merge because it is quite easy to select the database as the data source document.
