i have to write a business letter address to fellow classmates that our trip to Mexico has been cancelled. Due to the fact that the bus company has filled bankruptcy and they will not be refunded their 100.00 deposit. I need help starting off the letter just to tell them what going on w/ the trip without them getting mad at me (goodwill). Only serious replies please

A business letter has a proper form. The formatting in this system does not allow me do show you the whole layout but the following fields go on the letter and I will tell you in order and whether it goes on the left or the right.

Dear Bob

This letter is in reference to the planned trip that our class is taking to Mexico. I have been advised that this trip is cancelled. The reasons are as follows.

The bus company has filed bancruptcy and will not be refunding the $100.00.

I am very sorry to give you this bad news, because I know that you were looking forward to the trip as much as me, but I have to say that the timing of this information is very good, because otherwise we would have been stranded in Mexico without funds and without a bus. So please accept this circumstance and I will do my very best to find another opportunity or provider for this trip.

Let me tell you that in a business letter, friendship and liking you are secondary to telling the addressee the truth. You should lay it out in a logical manner, but do not tell them anything that is not the truth and for goodness sakes don't give them false hope about fixing this particular trip or they will be VERY angry when that plan falls through also. Keep business and personal thoughts separate. Since this is just business, than stick to the facts and let them know how sorry you are and that you will do your best to find another opportunity. Good luck.

Also, be sure to spell check and get the tenses correct.

Dear Friends,

While I know that you are all eagerly waiting as I was to go to Mexico, I am sending you this note to rather dampen the plan for reasons beyond my control.

The funds we collected to pay to the transport guy to a tune of 100/head is also lost. The bus corporation filed for bankruptcy. Now, none of us coudl expect this. I've personally made sure that all our addresses are with the agency to send us our dues as and when the situation changes.

But, for now, I apologise most sincerely for this incident. I was excited to be amongst you... and here I am forced to write this regret letter.

I sincerely request you to understand!

I know that you have been looking forward to the trip to Mexico. Unfortunately due to unforseen events we are unable to have the trip. Steps have been taken to resolve this issue of the deposit but at this time no refunds are available.

See if you are able to sue the bus co civally and get the money back.
