*We are awaiting verification* from the US Consulate in Medan whether we are able to meet the Governor or not on such a date.

Looking forward usually means you can't wait for something to happen (as in you are excited or happy about it) e.g. I am looking forward to going to the concert. So it doesn't really suit this context.
