As Finance Manager (and Deputy Manager) of a charity that finds rented accommodation for the homeess, I am due to give a prentation of our Annual Report in Jan 07. The General Manager is on leave and has given me NO guidance! I need help as I have never done this before.

Power Point

It's a microsoft office application which automates presentations for you. It's not the best - because it's microsoft and everyting they do is crap - but it is the most ubiquitous, which is important when you need cross-compatibility, which you do in your case.

It's quite intuitive to use, and you probably already have it on your PC.

Now, take the annual report, and decide on the key points. For every key point, extract an illustration from the report, or make one yourself (eg. a pie chart).

Now, create a script, which is basically a very abridged version of the report. Use the illustrations to illustrate the points in your script.

Finally, rehearse it to someone you know well, and get feedback.

Tweak it, add amusing bits, and bingo.

There are two ways to do it depending on whether you would like to take more time during presentation or would like to give more time for the audience. If former, make a detailed presentation and it would mostly involve narration by you. In case you are confident of taking questions, make a crisp and brief presentation and throw open the floor and use time in a more interactive manner. Latter might be more interesting but the former may be a safer strategy given that it is your maiden attempt.

First Rule First: DON'T WORRY.....we are with you
I've given such presentations. Here is what i conclude for you.

1. Prepare slides
2. Be confident (you will be as long as you're well prepared)
3. You should describe the Scope of your project first...then your targets...then achievements...then future plans...then Question Answer session and finally a Big Thanks..
4. You must emphasize your Achievement during presentation and spend more and more time on it.
5. Be very active and keep your audience interested in your speech...

Well that sucks!

It doesn't have to be elaborate, just factual. Money in, money expended, number of people helped, statistics on if this year was better than last year, maybe some projections going into 2007, maybe a pie or bar chart (excel can do that for you) showing how the money was divided up and where it was coming in.

use powerpoint and make it a light subject lots of slides and sound and colour , make sure the room is comfortable and not too warm, just get up there and appear confident
