I have tried looking on motorola's web page but can only get software upgrand for the handset and not the actual software to enable me to install it on my pc

the program you need is MOBILE PHONE TOOLS version 4 from Motorola. You also need the usb lead. These should have been in the box with a new phone. This wll let you back up and restore diary and phonebook, as well as transfer ring tones, pictures &c. If all you want is to copy pictures and mp3 then consider a bluetooth adapter for your pc. In GB MPT &c about £40 to buy, Bluetooth about £20.
WARNING with Windows XP and SP2 the bluetooth install can be a bit tricky but solutions on google
