I get some email purporting to be from 'X' but I am not sure it is 'X' but it could be 'Y'. How do I verify this?

With great difficulty. I personally encourage everyone I know to enter false details when opening email accounts etc as it is just too easy to make mayhem with a name, address and d.o.b.

Could your correspondent send some kind of postal proof with letterheads and info you could check out at company house?

It's hard to offer further help without knowing the ins and outs, and I see why you may not want to divulge any further details.
