Depending on where you stay I think there are many hotels who give you the room free as long as you pay for the dinner or lunch or snacks for minimum number irrespective of the attendance. you have to be careful with numbers over the minimum too many is also bad if there is poor attendance and too less is not good.if you know you are going to have min. 40 and maximum 50 then choose a room size which can accommodate at least 75 and negotiate for 50 food plates.This way you will have place for families and kids to move around and you will be covered for over/under.
I know that woodlands is good. but depending on your location choose a Good central and nearby hotel . this will save you all the pain and your family can land there to be served
