I want to write a letter to one of my dad's friend. He is a business man. And he wants to open a branch in my country and he asked me to find him a person with whom he can parter with. I gave him few email addresses of the people who do the same business as he does. And I asked him to contact them. He didn't contact them but his brother came here for a bussiness trip they both work in different fields. and he is here for his own venture. and he is quite busy too. Now the problem is that my dad's friend asked me to take him to one of those people so that he can meet with him. But those people are very busy and we can't meet them without appointment. And this person is going to stay for only 2 days. SO its difficult to make all the arrangements. Now I want to write a letter to this person and tell him that we couldn't arrange because those people are very busy and we can't meet them without appointment. Can anyone please help me to write a nice letter so that he doesn't feel bad. Thanks

Dear Fred (or Dear Mr. Smith):

After speaking with my father and learning of your request to have appointments set up in order that your brother be able to speak with ________________, I just wanted to let you know that, unfortunately, it was not possible to set up those appointments.

As you know, your brother will be here for only two days, and the time constraints associated with his visit made it impossible. Mr. A will be out of town on those days. Ms. B. has scheduling commitments that cannot be changed, as does Mr. C.

Mr. A, Ms. B., and Mr. C have all expressed regret that they have been unable to meet with your brother during his short stay here.

I am sorry my efforts to set up the appointments you requested have proven unsuccessful, but I am sure you understand that your brother's short visit has made it difficult to work something out with the individuals you wanted him to see.

Please understand that I did my best to set up the appointments, but the scheduling conflicts and time constraints just made it impossible for all involved. My father sends his regards.

I think you are already very articulate and seem to be able to handle this fine by yourself, judging by the quality of what you just wrote.
