since i have newly join i don't wish to leave this job before completion of 6 months, my office enviorment is too tensed and due to my boss nature or behaviour we are all upset working under such boss but i want to take it as an challenge and for this i need your help.

From reading your question, I assume that English isn't your mother tongue.
Regardless of the language you will be using, the best way to write any letter is to write it as if you are talking to the person. There is no need to use fancy words, just keep it simple and try to imagine the recipient sitting across the table from you.
Believe me, that works. On average, I write 20 to 30 letters and reports every day and I would say that I do this within an hour or so.
Don't be afraid to take a little liberty when writing. Don't try to sound like you think your boss would write.....sound like you would talk.

You need to practice writing. Sentences. A capital letter begins the sentence and the period ends the sentence. Subject, verb, object. The sentence ends. You start a new one. You don't spew word after word after word. You use structure to write sentences, and the sentences themselves have structure in a paragraph.

Focus on the building blocks. The big picture will come when you practice, practice, practice.
