emails are stored on a server, but not on individual PCs. for example, all the mails in yahoomail are stored in yahoo server. so, whenever someone wants to check their mails, they just logon to their account and the mails are retrieved frm the server.

Log in and check it,It is not about your system it is about the e mail service they have and the www you can log on to any computer and check any email from any server,I know my friends use mine all the time to check there stuff

It's it's Yahoo!, you should know Yahoo! Mail can be accessed anywhere in the world (just like any other website/web-based mail).
In programs like Outlook, all they need to do is set up their details into the program (requires stuff like outgoing servers, smpt servers, incoming servers, username, password, service domain)..then you should be fit to check for mail (you cannot use web-based emails in programs like Outlook, fyi).

all someone needs to do is get onto the their emails providers website, log into the server and they can check there email

It depends how their email is setup. If it is a web based email account such yahoo or hotmail then they simply go that website and login in with the account details.

i understand that it is with your agreement.
if they have webmail - they just have to know the url +
username+pass.
even if it is not a webmail - mostly can do it.
but it depends if it is capable - some services permit. some - not.
if you have special programs for it - you can add the desired details.
