I am a customer service rep. We have customers that call and place orders, or call to complain that a delivery is late or that maybe their product is bad for whatever reason. When I get these calls I apologize for the mishap b/c whether it was me personally or someone else in my company that is at fault, I represent us all. I ask them what their expectations are (you don't always have to ask) and I ask them if there is anything I can do to make it up to them. If I notice that something didn't ship on time, I call the customer before it is due to let them know that it will be late, they may not be happy about it, but they are glad to know before hand. I try to be knowledgeable about our products b/c customers have questions about them, so part of my job is answering questions. I offer suggestions on things I know they use. All of these things sound simple enough but they are all part of customer service. I feel that the number one thing you have to remember that half of the job in customer service is your attitude!! You must always be pleasant (even when they aren't) and if they are regular customers try to remember things about them. Maybe ask them where they are and how the weather is there. Making the customer feel like you are devoted to them is very important. So, be pleasant, be knowledgeable, be helpful, and look out for them whenever you can.

When I get this question I always say something to the effect of "The important thing to remember is that every person feels they have a valid concern. Whether you agree or not, you need to put yourselves in their shoes and see how they would feel, and what a reasonable compromise is, within company policy" Focus on the positive and how you stayed calm in a stressful situation. Dont say how the guy was a flipping idiot who expected the world and was upset at the moon.

I work for a major utility company and although our billing center is centralized, I occasionally get upset customers in my office to discuss their bills. In dealing with them I try to be sympathetic yet firm. Answering their questions if possible, making them feel like we are here to help them and that they are important customers to our company. In the end I always have to refer them to our 1-800 customer service line but they leave my office feeling like their problem can be solved.
