The HRD Dept. ordered me to show a letter stating that my brother whom where I live is not receiving a Housing Allowance in order to provide the said allowance. I don't know how to compose a letter that should be sign by the boss of my brother.
here's the sample so please correct my grammar..
This is to inform you that Mr. Arthur Siamar, employee in Indutrial Company is not entitled to receive housing allowance nor transfortation allowance. This is upon the agreement of our Company and employee........please help me to continue this cause i dont know what to say....10 points for the best

OK, I can't tell from what you have written, but your brother is NOT going to receive the Housing Allowance right? That is what your letter says. You could also try looking in Windows templates to find a down loadable letter that you could tailor to your needs.

Remember to put in all the information the other party needs to know.
Try to keep sentences to 20 words or less.
Don't stress about it being to short. The person reading it probably doesn't have all day to spend on this.
Use spell check and get it proof read

This is to inform you that Mr Arthur Siamar, an employee of Industrial Company (the full name of company is better) is not entitled to receive Housing Allowance or Transportation Allowance. This has been agreed upon by both the company and Mr Saimar.

I want to help you but there is something wrong with this story. If your HR wants a letter to prove that you do not live with someone who receives housing allowance, it should be a statement from you. Its not your brother's or his employers responsibility to prove this for you. However, if this is the case, your employer should write a letter to his employer explaining the information they need. Companies respond to each other's letters.... not to a middle man messenger.
